 Objectives

  • Co-design a lightweight, community-informed evaluation plan.

  • Build internal capacity for data collection, analysis, and reporting.

  • Produce an actionable, staff-owned evaluation framework and a starter dashboard/dashboards-ready outputs.

  • Deliver a concise, funder-ready learning report with recommendations.

Scope of Services

  1. Kickoff & Co-Design (Week 1)

·        Stakeholder mapping and scoping workshop (90–120 minutes, via video).

·        Determine Community Advisory Board payment structure and process

o   Best practice: Pay $20/hour

·        Gatekeeping, consent, and data governance considerations documented.

  1. Data Collection Plan & Capacity-Building (Weeks 1–2)

·       Recruit and train a Community Advisory Board

·       Confirm evaluation questions, success metrics, and CBPR approach.

·       Draft logic model or theory of change aligned with program goals.  

·        Develop a lean data collection plan (surveys, interviews, or focus groups)

·        Design user-friendly data collection templates and templates for consent and confidentiality.

·        Co-create a staff-facing data collection toolkit (instructions, scripts, and quality checks).

·        Short training session (90 minutes) for staff on data collection ethics, QA, and data entry.

3.       Collect Data (Weeks 2-4)

·       Train Community Advisory Board and Staff on data collection methodology

·       Implement data collection plan.

  1. Co-Interpretation & Framework Development (Weeks 5)

·        Facilitate a co-interpretation workshop to review initial findings (virtual, 2–3 hours).

·        Produce a staff-owned evaluation framework (logic model, indicators, data sources) and a simple data dashboard prototype (Excel/Sheets or a visualization tool of client choice).

·        Draft a 1-page or 2-page learning report outline with actionable recommendations.

  1. Final Deliverables & Handoff (Week 6)

·        Final staff-friendly evaluation framework document (including indicators, data-collection templates, and governance notes).

·        Interim dashboard prototype with at least 3 key metrics and visuals.

·        A 1–2 page learning report suitable for internal use and funder communication.

·        A 60-minute wrap-up session to review findings, answer questions, and discuss next steps.

Timeline

  • Total duration: 4–6 weeks (adjustable based on client capacity and scope)

  • Milestones: kickoff, mid-point review, final handoff, optional follow-on planning session

Pricing Options (starter package)

  • Option A: Capacity Building (4 weeks)

    • Price range: $5,000 – $8,000

    • Inclusions: kickoff, data plan, capacity-building workshop, framework and dashboard prototype, final deliverables, 1 post-workshop support call.

    • Exclusions: Data collection and Data Interpretation

  • Option B: Capacity Building Plus Data Collection and Interpretation (6 weeks)

    • Price range: $8,500 – $12,000

    • Inclusions: all of Option A plus data collection and interpretation.

  • Optional Add-Ons (at additional cost)

    • Additional staff training session: $1,000–$2,000 per session

    • Funders-ready report (2–4 pages) tailored for grant reporting: $1,500–$3,000

    • Data governance policy draft (ownership, access, retention): $1,000–$2,000

Assumptions

·        Client provides timely access to program staff and necessary documents.

·        Data security and ethics guidelines are established prior to data collection.

·        Deliverables are designed to be usable by non-technical staff.

Out-of-Scope (for clarity)

·        Large-scale, multi-site evaluations

·        IRB approvals or full regulatory compliance beyond standard ethical guidelines

·        Custom software development beyond basic dashboard templates

·        Long-term monitoring or ongoing data analytics beyond the starter scope

Engagement & Communication

·        Project management: weekly 30-minute check-ins; a shared workspace (Google Drive or equivalent) for deliverables.

·        Approvals: client sign-off required on scope outline and major deliverables prior to each milestone.

·        Change requests: any scope changes will be documented in a brief addendum with revised timeline and pricing.

Payment Terms

·        50% upfront; 50% upon delivery of final artifacts
